The Basic Premise of FiLOS is threefold

Firstly

The first is automation. Cognito FiLOS (Case Managment Solution) takes the maximum advantage of tasks and documents used in mainstream Legal Cases. This is based on the fact that for a large number of Cases, although the people and organisations involved may vary, the processes and requirements for each case are basically the same. By automating these repetitive elements Fee-Earners and support staff are released to pursue those activities that really do require individual attention.

Secondly

The second is case control; Cognito’s CasMan (Case Management Software) allows the managing Fee-Earner access to monitoring, reminding and recording all of the key stages in any given case. By controlling and monitoring key stages, critical dates, undertakings and commitments; the Fee-Earner, and the Firm, are not only more efficient, but can also avoid potentially costly mistakes. Nothing gets overlooked.

Thirdly

The third is flexibility. Whilst some tasks and documents are repetitive, no two cases are identical. Therefore Cognito FiLOS allows the Fee-Earner to change and control a case "on-the-fly".

FiLOS achieves this in a number of ways.

By providing multiple ways of working on a Case. A Case can be viewed as "Workflow" driven, "next action" or a mixture of workflow groups and ad-hoc actions. Conveyancing, for example, lends itself to be workflow driven, whereas commercial law leans toward a next action basis. In both circumstances, standard and non-standard documents and/or Events (ie. critical dates) can be "added" to Cases as and when they are required.

Every step (Event) on a Case has a "Due" (or target) Date and an "Actual" Date. These are automatically monitored in the "To-Do" list and can be diarised for further visibility if required.

A number of different "types" of Event can be put into a Workflow and/or added to Cases on the fly. These include documents (including e-mails) that are produced; documents that are received, critical dates, appointments, reminders, notes, SMS text messages to name but a few."

The aim of FiLOS is to provide the Fee Earner with a computerised Case File (called the Fee Earner Desktop or MyView). That is; all, or at least most, of the documents and records that would normally be contained in the physical case file; but available to the Fee Earner on their workstation.

The benefits of such a solution are numerous: the accessibility of documentation (the file will not get mislaid or misdirected); the radical reduction of document flow around the office leading to fewer misfiled files (the Fee Earner only needs the physical file when non-scanned documents are required for perusal); the speed with which client enquiries can be satisfied - by anyone in the office with access to FiLOS. The speed at which new documents such as new letters, court bundles or can be produced is greatly increased freeing more time up for the Fee Earner and their support staff.
